The University Events Council
Community of Practice
The University Events Council was conceived in 2018 in response to the growing needs of communicators and event planners across the VCU and VCU Health campuses. This year VCUHR is piloting Communities of Practice within HR's Career Communities, starting with the University Events Council.
The council seeks to provide community, resources and connections for every level of event planning at VCU. A few of those resources are included below on this site, and those planners seeking more information, additional resources, and access to annual council events, can register on the Events Council registration page.
EMS - VCU faculty, staff, and student org leaders can use EMS, an online scheduling portal, to reserve VCU’s centrally scheduled campus spaces on both campuses, including classrooms, conference rooms, theaters, outdoor meeting spaces, and athletic fields/courts. EMS users can browse availability, make a reservation, or modify a reservation.
Request Event Coverage - The VCU Police Department provides coverage for special events on VCU’s campuses for an hourly rate. There are two types of coverage: police officer and security officer. Police officer coverage is provided by the VCU Police department and is defined by uniformed officers carrying police weapons with arrest powers. Security officer coverage is provided by contracted RMC Security and is defined by uniformed unarmed officers with no police powers.

VCU General Services offers special event setup and rentals including tables and chairs. VCU faculty and staff can request special events services via the Facilities Self Services.

Through our Special Events unit, VCUParking provides parking services for various events, such as VCU Basketball (Go Rams!), Altria Theater productions, as well as group parking for organizations on and around VCU's campuses. Whether your event is large or small, the Special Events team will coordinate with you to arrange convenient parking options for your attendees.
